Staff in GeoOp represent your team either in the office or in the field. Inviting a staff member to use GeoOp means that they will have access to both desktop and mobile versions and be able to work on and update jobs in synchronisation with you. Adding & Inviting Staff Members

You can invite you staff members either through GeoOp desktop or App. In GeoOp desktop you will have more options as to what information you can set about the staff.

To add a new staff member simply go to people icon in the navigation bar, select 'Staff' and then click the 'Add New' button at the top of the page. From here you can fill in their basic details and hit save. This will send the staff member an email prompting them to join your team.

You will notice on your staff list that their login status can either be pending (the user has not accepted your invite) or accepted (the user has).

When adding a new staff member on desktop, you have the options to select the following:

  • Staff Colour - this will show up as their colour on the jobs list and schedule page

  • Staff Role - this will determine their permissions to access different parts of GeoOp

  • Staff Workgroup - assigning your staff to a workgroup can make it faster for you to find the staff member when assigning bookings

Note: If you need to increase the number of Active Staff allowed on your account, you can increase your subscription by going to your avatar in the navigation bar and selecting 'Subscription and Billing'. You can also read more about that here.

Accounts that are on an annual subscription or a legacy plan wont be able to update their subscription themselves. If you are not able to update the number of licences on your subscription yourself, please reach out to our support team who will be able to help you increase your subscription.

Managing Staff (Profiles and settings)

Once you have your staff added, here are some more details and tips about how you can manage them:

  • Active Staff can log in to GeoOp and use all of its great features. Each Active Staff member will count as one GeoOp licence and you can add as many Active Staff as your plan will allow.

  • Inactive Staff will not be able to log in to GeoOp, and do not use a licence. You can have as many Inactive Staff as you need; this may be useful when managing occasional contractor access.

  • If you need to increase the number of Active Staff allowed on your account, you can increase your subscription by going to your avatar in the navigation bar and selecting 'Subscription and Billing'. You can also read more about that here.

  • If Multi-factor authentication (MFA) is enabled for your company, only each individual staff member can manage their own MFA destinations. The mobile number listed against the staff that you see, may not necessarily be the numer they have set against the account.

Top Tip:

  • If you have MFA enabled, we do not recommend re-allocating a staff that has left to a new staff member. This means updating their name and details from your ex-staff to your new staff. The new staff member will not be able to receive the MFA code.

  • Instead we recommend deactivating the old user and creating a new staff member. This will not cost you an additional licence.

Deactivating Staff

This section explains how you can deactivate specific staff members in GeoOp. If you have a staff member whom you no longer want to access GeoOp, you can deactive them by marking them as 'Inactive'. Marking a staff member as Inactive will disable their access to the GeoOp account and they will no longer count as a license. Marking a staff member as inactive means that you are able to reinstate them if you ever need or want to in the future.

You can do this by going to the people icon in the navigation bar, selecting 'Staff' and then heading the staff members page who you wish to deactivate. Once here you can deactivate a staff member by simply clicking on the green 'Active' button under their profile picture.

Top Tips

  • It is sensible to locate all future jobs assigned to a staff member - and to reassign them to another staff before marking them as inactive. You can filter the Job List via staff member, or from the staff list, view the staff member's jobs tab to see all their jobs.

Deleting Staff

Deleting a staff member is irreversible - we are unable to recover staff information once deleted, so think carefully about this. To delete any Staff records you want, simply navigate to the Staff List screen, tick the boxes to the left of Staff names you want to delete, then click the Selected button above the tick boxes. Choose to Delete Selected from the button option.
