That article describes the Schedule module of the GeoOp mobile app, enabling you to view and manage all your job bookings.

Overview of the mobile app schedule

The GeoOp mobile app enables you to access all job bookings that have been assigned to you via two different views:

  • a Schedule view where all your bookings are grouped by day and showing in a list format ;

  • a Day view that allows you to select a specific day and get an overview of all your jobs on that day ;

  • a 3-Days and Week views that gives you an overview of your schedule across several days of the week at once ;

  • a Month view that gives you an overview of your schedule across an entire month.

The booking cards are fully customisable, allowing you to chose what information you would like to see on your schedule and save time browsing through you jobs. Check the Customise my schedule section for more details.

You can quickly access the corresponding job by simply pressing on the booking card.

How to switch between different views?

You can switch between the various views of your schedule and access the calendar settings screen by simply clicking on the icon located in the top right corner (next to the filter icon). On click, a list will reveal allowing you to pick which view to switch to and even to choose which view to set as your default one.

Schedule view

The Schedule view allows you to visualise your schedule in a list format, each day being separated by the corresponding date.

Tips

  • By default, the list always starts with Today's date at the top of the screen

  • You can customise the job card via the calendar settings and choose to show/hide Job Status and the Booking Label

  • If you chose to hide the Job Status, only the status title will be hidden and the card will keep the status colour

Day view

The Day view allows you to get a more detailed view of your schedule for a specific day.

Tips

  • The utilisation bar at the top of the screen represents the time booked on jobs (in blue), the unavailable time (in black) and the available time (in grey). The start/end time is aligned with your default calendar hours from your calendar settings.

  • The default day is always Today, but you can easily navigate to different days by using the date picker in header. Simply click on the month name to open the date picker.

  • You can fully customise the job card via the calendar settings, by choosing what information to show/hide and in which order.

3-Days and Week views

With the 3-Days view, select any day and view your schedule for the 3 following days.

With the Week view, select a day and view your schedule for the entire week. Weekend days are hidden/displayed based on what default calendar hours you have set in your calendar settings.

  • The red dot next to the utilisation bar indicates that a booking is scheduled outside of the default calendar hours from your calendar settings.

Month view

The Month view allows you to get an overview of your schedule for an entire month. Each day on the calendar gives you key information about your working day:

  • Number of bookings on that day

  • Total hours booked on jobs vs Total available hours on that day

  • Number of hours unavailable on that day. The day will be filled with a black circle icon if you're unavailable for the entire day (e.g. annual leave, sick leave, etc.)

  • The ! indicator helps you identify days where you have jobs booked outside of your standard business hours (as per your calendar settings)

How can I filter my schedule?

You can easily filter your schedule by clicking on the filter icon at the top right of your screen. Your schedule can be filtered by:

  • Staff ;

  • Job priority ;

  • Job status.

You can also make any filter your default one, so every time you access your schedule it will already be filtered the way you need. To save a filter as your default one, simply toggle the "Save as default" toggle at the bottom of the filter screen and press Apply.

Use the "Save as default" toggle at the bottom of the filter screen to make that filter your default one. It will then apply every time you view your schedule.

Customise my schedule

To customise the information to display on your booking cards, simply click on the icon in header to open the view selector and click on Calendar settings. From there, you can choose amongst the following options:

  • Define your default Calendar hour range to hide hours outside of your company's standard business hours and save time navigating through your schedule. Any job booked outside of that hour range will still be displayed on a grey background.

  • Chose to Show weekends in calendar to hide Saturdays and/or Sundays on the 3-Days, Week and Month views.

  • Chose to Show status on your booking cards.

  • Chose to Show booking label on your booking cards.

  • Define your preferred Address format and only display the part of the address that you are using.

Mobile devices have various screen sizes, and depending on what information you'd like your schedule to show, your screen may not be big enough to show everything. In that case, you can prioritise the information so that the booking cards will always show the most important information that you need first. Define that priority order, simply re-order the list on fields from the Calendar settings by drag'n drop. Use the Preview button at the bottom of the settings screen to get an overview of how the booking cards will look like before to save your settings.

Add bookings and unavailabilities

You can quickly schedule jobs from the mobile app schedule by long-pressing on any time slot from the Day, 3-Day or Week view. Once done, simply select a job and confirm the date/time before to save.

From the schedule screen, you can also add bookings and unavailabilities by pressing the + icon on the horizontal navigation bar at the bottom of your screen to:

  1. Add a new Booking: create a new job booking for yourself or other team members

    1. That link will only be accessible by users who have been granted the "Assign Visits" permission by their GeoOp Administrator

    2. Only users who have been granted the "Assignable to Visits" permission by their GeoOp Administrator will show up in the list of staff to be assigned to the booking

  2. Add a new Unavailability: update your leave calendar and show it in your schedule

Can I view the schedule of my team members?

That feature is only available to users who have been granted the permission "Access Visits" by their GeoOp Administrator. If you've got that permission, simply head to the filter screen and use the following filter options:

  • Everyone: that toggle allows you to view all staffs' bookings ;

  • By staff: that option allows you to view specific persons' bookings ;

  • Unassigned: that toggle allows you to view all bookings that are not yet assigned to anyone.

List view

When filtering the Schedule on more than 1 staff, you will see a summary view across all selected staff. This is very handy when trying to reshuffle jobs amongst your team or looking for who is available to do new jobs.

Here is an overview of how each view will look like when multiple staffs are selected.

When multiple staffs are selected, the Schedule view will simply include all bookings for the selected staff in a list format with the corresponding avatar.

Day View with multiple staff selected

When multiple staffs are selected, the Day view will include 1 columns by staff. Unassigned bookings will always show in the first column, following by yourself and then all other selected staff in alphabetical order.

Note: To maximise performance, the day view can only display up to 10 staffs at a time.

3-Days/Week View with multiple staff selected

When multiple staffs are selected, the 3-Days and Week views will show a summary for all selected staff, including:

  • Total time booked on jobs per day vs Total available time

  • List of jobs per day for all selected staffs. Staff with no jobs won't show up.

  • All Unassigned bookings displayed at the top in a collapsable section for quick re-assignment

Month View with multiple staff selected

When multiple staffs are selected, the Month view will simply summarise all the numbers that you could view for yourself across all the selected staff:

  • Total number of bookings assigned to all selected staff

  • Total hours booked on jobs across all selected staff

  • Number of staff with unavailability
